Product Samples from China: A Buyer’s Approval Checklist

A sample is the point where your written brief meets the factory’s practical interpretation. Use it to test the details that need to survive the move into production.

Short answer: approve a sample only against a clear written reference, then consolidate the approved version, materials, packaging, and quality points before bulk production starts.

What a sample can tell you

A well-managed sample lets a buyer assess the product’s appearance, materials, function, dimensions, packaging, and production practicality. It can also reveal whether the manufacturer has understood the brief. It is not useful merely because it arrived; it is useful when the review is documented.

Sample approval checklist

  • Does the sample match the current specification, drawing, image, or product reference?
  • Are the relevant materials, finish, colour, dimensions, function, and packaging represented?
  • Have changes, deviations, or open decisions been recorded in one clear reference?
  • Are labels, warnings, inserts, and market-specific requirements considered where relevant?
  • Which details will be checked again during production or pre-shipment inspection?

Keep the “golden sample” meaningful

Where appropriate, retain an agreed reference sample and make sure the production instructions match it. If a sample is changed after approval, record the revision explicitly. Confusion often arises when factories and buyers refer to different versions of what was approved.

Plan the next check before you approve

Ask what will confirm the production version still matches the approved reference. A sample approval should feed directly into the quality plan, not sit separately from it.
