Sample Feedback Template for China Manufacturers

Useful sample feedback connects the reviewed sample to a product reference, visible point, requested change, buyer decision, and next action. The aim is not to write more comments. It is to make the right comment traceable to the right version.

Direct answer: mark which sample is being reviewed, what was observed, what change is requested, which reference matters, who decides, and what the supplier should return or clarify next.

The feedback record should make the sample and the next revision easy to identify.

Sample feedback may be about appearance, materials, function, pack-out, artwork, measurement, labelling, or a product question still being clarified. Begin by linking the comment to the current sample and product specification.

01 / SAMPLE ID

Which sample is this comment about?

Record the date, supplier reference, variation, colour, size, or version marker. If the buyer has several photos or samples, make it possible to tell them apart.

02 / REFERENCE POINT

What detail is being reviewed?

Point to the component, image, measurement, drawing note, material, label, finish, packaging detail, or product feature. A short photo reference can be more useful than a general paragraph.

03 / OBSERVATION

What was observed on this sample?

Describe what the buyer saw, measured, tested, or could not confirm. Keep the observation separate from the requested change and from any later supplier explanation.

04 / REQUEST

What response or next action is being requested?

Ask for clarification, a photo, measurement, material detail, revised sample, quote effect, packaging note, or updated product reference. Do not leave the required response implied.

05 / DECISION ROUTE

Who reviews the reply and what does it affect?

Identify the buyer owner and whether the point affects the next sample, a product specification, a quotation, packaging, quality planning, or an order-stage decision.

VERSION BOARD / MOVE THE COMMENT INTO A REVIEWABLE CHAIN

Feedback is more useful when it has a visible before and after.

A sample may move through several versions. Treat each comment as part of a review chain, not an isolated message. Keep the original reference visible when a supplier sends a revised photo, response, or sample.

1 / Current sample

Identify the current version, the relevant product reference, and the observation being recorded.

2 / Supplier reply

Record the explanation, requested evidence, proposed change, or stated limitation—without turning the reply into an automatic approval.

3 / Buyer review

Identify what the buyer needs to check, which point needs specialist input, and whether the product record or quotation is affected.

4 / Next reference

When a revision proceeds, name the next sample or current approved reference and link it to the change record.

What a sample-feedback template can organise

The sample version, product detail, observation, requested information or change, buyer owner, and next action. It can also help connect feedback to the specification, sample record, packaging question, quotation, or change-control file.

What sample feedback does not determine

A feedback record does not itself decide product acceptance, supplier capability, safety, compliance, legal rights, quality outcome, payment, or production release. The buyer should obtain appropriate specialist input where needed.

When a comment changes the working product record

When a feedback point affects the approved product, material, artwork, packaging, quality requirement, price, timing, or order question, connect it to the relevant current record before treating the change as settled.
